Lot tracking in Luminous helps you monitor and manage inventory with perishable goods or products requiring detailed tracking. Follow these step-by-step instructions to set up and use lot tracking effectively.
Step 1. Enable Lot Tracking for a Product
- Navigate to the SKUs Page in Luminous.
- Select the product for which you want to enable lot tracking (e.g., a 10-foot rod).
- Click Edit on the selected product.
- Toggle Lot Tracking to ON for this product.
- Products that don’t require lot tracking can remain off.
Step 2. Create a Purchase Order (PO)
- Go to the Purchase Orders section.
- Fill out the necessary details to place a purchase order for the selected product.
- Enter the quantity to be ordered (e.g., 10 units of 10-foot rods).
- Click Next, then Create Order to finalize the PO.
- The system will generate a new purchase order (e.g., PR number 268).
Step 3. Receive the Inventory and Assign a Lot Number
- Click Create Receiving Report on the top right.
- Fill in the required details (e.g., received date, warehouse location).
- Lookup the relevant PO and select the product (e.g., 10-foot rods).
- Enter the warehouse and location where the items are being received (e.g., Warehouse Main, Receiving).
- Assign a Lot Number:
- If the inventory belongs to an existing lot, select it from the list.
- To create a new lot:
- Click Create Lot.
- Assign a unique lot number manually (e.g., Test001) or let Luminous generate one automatically.
- Add additional details like Production Date and Expiration Date if applicable.
- Save the lot and complete the receiving process.
Step 4. View and Manage Lot Information
- Go to the Receiving page to view the received inventory:
- Locate the product (e.g., 10-foot rod).
- View the associated lot number in the details.
- Use the Lot Report:
- Navigate to Reports and search for "Lot."
- Select the Lot Report to view inventory by lot.
- Search by SKU, expiration date, warehouse, or product to see:
- Lot Number
- Original and Current Quantity
- Expiration Date
Step 5. Track Lot Assignments in Orders
- Use the Sales Order Lot Tracking Report:
- Navigate to Reports and select this report.
- View which lot numbers were assigned to specific sales orders.
- Confirm that the correct lots are being used for outgoing orders.
Step 6. Use Lot Tracking in Assembly Orders
- If the components for an assembly order have lot tracking enabled:
- Choose which lot to pull inventory from during the assembly process.
- If the finished product has lot tracking enabled:
- Generate a new lot for the finished product or add it to an existing lot.
Step 7. Use Lot Tracking in Pick and Pack
- When picking inventory, specify the location.
- Once the location is selected, choose the lot you want to pull inventory from.
