What does it actually take to bring a fast-growing ecommerce operations system online? For the Luminous team, it means 36 hours of concentrated, on-site dedication to make sure everything works seamlessly.
In this behind-the-scenes look, Luminous CEO and Founder Jared heads out to Arizona for an intense, two-day implementation with Gains in Bulk—a leading health and nutrition brand.
Day 1: The Warehouse Tour and Strategy Session
Gains in Bulk runs a specialized, centralized operation. They function as a complete, one-stop shop where they own their manufacturing facility, control their central fulfillment warehouse, and manage all of their distribution in-house.
To kick things off, the Luminous team dove right into the operations:
- The Tour: Jared and Logan (Gains in Bulk COO) toured the entire facility, checking out the centralized warehouse setups, the creative team offices, and even the on-site gym.
- The Software Shift: During the initial walkthrough, Logan noted that the inventory visibility they were seeing right off the bat was unlike anything they had used before. Having clean, actionable data coming through the system was an immediate game-changer.
- The "Got It" Moment: A core focus of the visit was teaching the team how to utilize Luminous's modern inventory features, bridging the education gap so the operators could confidently master the new system.
Day 2: Officially Going Live
When Day 2 rolled around, it was time to flip the switch. On launch day, the primary goal was to connect the operational dots and ensure that real-world orders and live inventory counts moved exactly as intended.
To make the launch successful, the team focused on a couple of critical checkpoints:
- ShipStation Integration: The teams worked closely to audit how all of the customer data and order details were flowing into ShipStation to guarantee fulfillment was completely synchronized.
- Real Orders, Real Training: Instead of running theoretical tests, the warehouse operators engaged in real-world training using actual incoming customer orders.
By the end of the day, all live inventory counts were loaded, items were properly tracked, and the platform was officially up and running.
On to the Next One
The Gains in Bulk launch was a massive success, but the work for a fast-scaling tech partner never stops. With minor issues quickly resolved and the system running smoothly, the Luminous team wrapped up in Arizona and headed straight back to Utah to prepare for another massive 30-day enterprise migration.

36 hours. 36 concentrated hours. If any one of those things isn't done, we'll have to sit and count at the warehouse until 11:00 p.m., which might happen. We'll see.
What's up, guys? We're heading out to Gains in Bulk to implement them. This is an on-site, so we're flying in, and we're ready to go. Now for the hard part: actually training, implementing, and flipping the go-live switch.
On-site with Gains in Bulk
I'm here with Logan from Gains in Bulk. What's up, Logan?
"I'm already seeing things in Luminous that I've never seen before. Even just this morning, looking at the data that's now coming through, I can already tell it's going to be a game changer for us."
That's awesome.
Why we do on-sites
We're heading out to the airport, so let me explain why we do on-sites. Honestly, it's probably the number one question I get when I demo a brand: shouldn't you be doing higher-level stuff? I believe founders should be spearheading and leading the way on all AI initiatives, and that's one of the reasons I've dived back into implementation.
First off, Gains in Bulk is a tier three customer. We recently divided our customers into tiers, and with Gains in Bulk we're doing the included on-site. They're a one-stop ops brand, the archetype of our customer: all of their operations run out of one centralized warehouse that they own and fulfill from.
For a tier three customer, we've already created a checklist of things they need to do, and they've completed those or are in the process. We've already finished everything on our end that needs to be done for a go-live.
For those of you who don't know, we launched our MCP back in February. What we're noticing, though, is that the biggest gap is education. When we have a little time to train with customers, we can dive in with them and show them, "This is absolutely something you can just do in our MCP," and see them realize, "Oh, I can do that with the MCP." So the goal this year is to get every single one of our customers to that "got it" moment, that light bulb moment.
End of day one
How'd the day go? "It's been a long day, but it's been a very productive day."
It went well. We'll see how it really went tomorrow, because tomorrow is the official go-live. We got all the inventory counts in and everything labeled. Tomorrow is a bunch of training, but it's real-world training with real orders. Tomorrow's where the magic happens.
Who is Logan? Logan is currently an implementation rep with a capacity of one. Logan is the OG salesperson at Luminous. He understands the product really well, so I can bring him on an implementation trip.
"I think it's really cool. When you're selling the software all the time, you don't see the physical side of it, inside the warehouse. It's interesting to see it from the perspective of an actual operator instead of just the software, and how people use Luminous and the warehouse in tandem. It's a side you don't normally see when you're behind the computer."
Go-live day
How's it going, guys? "Good. We're waiting for the count."
I'm going to walk Logan through how everything flows into ShipStation, and yes, everything is flowing in smoothly. Now it's just a matter of training, getting the counts in, and starting to keep up the system. I'm excited for you guys to adopt more and more of the system. Thank you, guys.
Back in Utah
We're back in Utah after a long day. We just got off the plane, and I have another massive go-live tomorrow: our 30-day NetSuite migration. I have no energy left to close out this video, but it actually went really well with Gains in Bulk. There were a couple of small issues we worked through, and it's gone really well.
We get the job done and we have fun doing it. Everything's working. On to the next one. That's what it's about: going there in person, getting them live, and getting them trained up. They'll be customers for life.
